To provide efficient initial contact for customer enquiries (both internal and external to customers at all levels), and ensure that customers request/complaint are clearly understood and take responsibility to address these where possible
Signpost customer enquiries, to the relevant service/officer ensuring the customer is kept informed of the action taken, working across services, so customers receive seamless information and service. Monitor generic mailboxes. Provide cover for Guildhall main reception.
Update records, spreadsheets and databases e.g. taxicards and permits, to a high level of accuracy to ensure that information produced can be used by other services and be relied upon.
Provide general office administrative support, collating and producing reports.
Follow standard operating procedures in line with service and financial procedures and data protection.
Filing/indexing/archiving and maintaining electronic and manual filing systems at high volumes.
Sort incoming post according to agreed processes and service levels. Prepare and despatch outgoing mail, operating the franking machine and following other processes to ensure outgoing mail is dispatched efficiently. Assist with the provision of confidential shredding arrangements, including arranging collection and provision of static and ad-hoc bins.
Book appointments and schedule events for officer and resource diaries.
Order stationery and low value items following standard office procedures and use of agreed corporate contracts.
1Maintaining the supplies for printers/copiers/scanners, reporting faults, distributing and replacing consumables as required.
Raising purchase orders, receipting goods, coding invoices and appropriate use of service contracts in line with corporate financial guidelines.
Issue travel warrants, eye care vouchers and petty-cash for low value items and in line with council procedures.
Have a flexible approach to work and be prepared to offer assistance to support the annual Election process and cover for other Business Support colleagues, which may be at other office locations.
Carry out any other duties as required by your line manager from time to time in accordance with the grading of the post.
Ability to follow written procedures
Basic use of office systems including Word, Excel, E-mail and searching for information on the internet
Practical experience of working to, and meeting, deadlines whilst under pressure
Experience of the need to pay attention to detail with a high degree of accuracy
Create emails and simple communications
Telephone handling and message taking to a high degree of accuracy
Deal efficiently with customer queries
Willingness to work flexibly within a team that embraces change maintains high performance and strives for continuous improvements.
Able to work in an open office with frequent disturbances and regular exposure tothe external environment
A - C in English and Maths or equivalent
